Janitorial Software Evaluation Scorecard
TLDR
Choosing the wrong cleaning software wastes months of setup time and frustrates your crew. This scorecard gives you weighted criteria across eight categories so you can compare tools based on what actually matters to a commercial cleaning operation.
How to Use This Scorecard
This scorecard is designed to compare commercial cleaning and janitorial software side by side. It works for evaluating two tools or ten. The structure keeps you focused on features that affect your daily operations rather than getting distracted by marketing demos.
Scoring scale (1-5 for each criterion):
- 5 = Excellent. The feature works exactly how a cleaning company needs it to, with minimal setup.
- 4 = Good. The feature is solid but has minor gaps or requires workarounds.
- 3 = Adequate. The feature exists but is basic, clunky, or missing important details.
- 2 = Poor. The feature technically exists but is so limited it barely helps.
- 1 = Missing or broken. The tool does not offer this feature, or it does not work reliably.
How to gather information:
Do not score tools based on their marketing pages or demo videos alone. Marketing pages show the best-case scenario. Instead:
- Sign up for a free trial or request a sandbox account.
- Enter your actual data — real sites, real crew sizes, real cleaning schedules.
- Test every feature you plan to use. Click every button. Try the mobile app in the field.
- Ask the vendor about features you cannot find. If a feature is “coming soon,” score it as missing. You are buying what exists today.
- Check review sites (G2, Capterra, Google Play reviews) for complaints from other cleaning companies. Pay attention to complaints about reliability, data loss, and customer support response times.
Bid Calculation (Weight: 25%)
Bidding is where cleaning companies make or lose money. Software that helps you build accurate bids is worth more than any other single feature.
Criteria:
-
ISSA cleaning time standard support (score: ___/5) Does the tool include built-in production rates for different area types (offices, restrooms, lobbies, warehouses)? Can you customize rates based on your crew’s actual speed? Or does it force you to estimate hours manually?
-
Square footage calculation (score: ___/5) Can you input square footage by area type and have the tool calculate labor hours? Can you upload floor plans or does it only accept manual entry?
-
Labor cost calculation with burden rate (score: ___/5) Does it calculate fully burdened labor cost (base wage + payroll taxes + workers comp + benefits)? Or does it only use the base wage, which understates your actual cost by 20-30%?
-
Supply cost estimation (score: ___/5) Does the tool help you estimate supply costs per site? Does it track actual supply usage over time so your estimates improve?
-
Overhead and margin calculation (score: ___/5) Can you set your overhead rate and target profit margin, and have the tool calculate the final bid price? Or do you need a separate spreadsheet for that?
-
Bid document generation (score: ___/5) Can the tool produce a professional bid document (PDF or printable) with your scope of work, pricing, and terms? Or do you have to copy numbers into Word?
Category subtotal: ___/30, weighted score: ___ x 0.25 = ___
